About the Company:
We are an innovative company supporting healthcare providers with administrative and sales workflows. We are seeking a dedicated and detail-oriented Virtual Assistant to help manage patient appointments, follow-ups, and skincare sales operations.
Job Summary:
The ideal candidate will be a highly organized and proactive Virtual Assistant with excellent customer service skills. You will play a key role in assisting with administrative tasks, patient communications, and improving skincare sales workflows.
Key Responsibilities:
Administrative Support:
Schedule and reschedule current and new patient appointments to fit provider schedules upon request.
Block and open schedules as needed.
Communicate with customers 2 weeks after service.
Follow up with customers 2, 6, and 12 weeks following skincare purchases over $200.
Update patient information, including addresses and credit card details.
Skincare Sales Support:
Run reports for monthly promotions and send personalized messaging to customers who have purchased specific products.
Place orders for customers on behalf of the provider.
Requirements
Qualifications:
At least 2 years of experience in administrative support, customer service, or related fields.
Experience with an Electronic Medical Record (EMR) system is preferred but not required.
Strong attention to detail and ability to meet deadlines in a fast-paced environment.
Excellent communication and organizational skills.
Availability to work evenings and weekends as needed.
Skills:
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and manage time effectively.
Proficiency in CRM software (HubSpot) and other virtual communication tools.
High level of empathy, patience, and customer service orientation.
